How to Collect Family Reunion Shirt Sizes

Choose the shirt and its available options before asking for sizes. A reply of “medium” leaves you guessing if the order includes adult, youth or different garment styles.

Send the exact listing and size chart

Ask each person to use the chart for the garment they are choosing. Follow its measurement instructions: a flat garment width and a body circumference are different measurements.

If someone compares the chart with a shirt they own, check that they measure it the same way the chart describes. Ask them to confirm their choice rather than choosing a size from their age or appearance.

Keep one row per person

Use a form, spreadsheet or paper sheet the organizer can keep up to date. Record:

• Name of the person receiving the shirt.
• Exact garment style, including adult or youth.
• Size and available color.
• Quantity.
• Personalization exactly as it should print.
• Who is ordering, receiving and packing the shirt.

If replies arrive in a group chat, copy them into the same list. Mark uncertain answers for follow-up instead of guessing.

Set a reply deadline you can use

Work back from the gathering date using the product’s processing and shipping estimates. Allow time to check the delivered goods. A physical sample requires its own production and delivery time.

Tell relatives the reply deadline and who to contact with a question. Follow up with the people whose rows are incomplete.

Check the list before ordering

Read each person’s garment, size, color and personalization back to them or ask them to confirm their row. Keep the confirmed version separate from unconfirmed requests.

Count the quantities by garment, size and color, then compare those totals with the cart. If you choose to buy extras, record them separately so they do not look like someone’s confirmed order.

Keep the delivery list

Save the final choices and order confirmation. When the shirts arrive, check each item against the list and label it for the recipient before packing or handing it out.

If someone asks for a change after ordering, contact the seller promptly and check whether that order can still be changed. Do not promise a size change once production has started.
