Collect community family-day shirt orders without missing details

Give the volunteer collecting shirt choices one current list and a named backup. A size sent to three different helpers can become three conflicting order entries unless someone owns the final version.

Set the choices before opening the list

Choose the design and product listing with the organizing team. Confirm who can approve the group’s name, spelling and artwork. Record the exact garment, available colors and size chart volunteers should share.

Keep shirt ordering separate from attendance. Someone can attend without ordering a shirt, and a volunteer collecting for an absent relative may need an item that is not part of the event headcount.

Tell participants how to submit a complete choice and whom to contact for corrections. Avoid asking for sizes in a public pickup list or a document the whole group can edit.

Keep a reference for each order line

Record the recipient, garment, size, color, quantity and exact supported personalization. Give each line a reference the volunteer can use when a question comes in. If a person orders for several relatives, keep each different variant or name on its own line.

Ask the requester to confirm the choices before the organizer orders. A size label without the selected garment is incomplete. Share the actual product’s chart rather than substituting a generic adult or child size.

When someone changes a choice, update the existing line and record who confirmed it. Do not leave the old request active beside the replacement. Keep the prior detail in private organizer notes if it is needed to explain the change.

Reconcile four counts

Use the worksheet below to follow each line through four stages: requested, ordered, received and collected. These stages answer different questions.

As a hypothetical example, twelve requested shirts, twelve ordered and ten received means two items still need investigation before everyone can collect. It does not mean that the missing two should immediately be ordered again. Check the order and shipment information first.

Record the discrepancy and who is following up. If an item has arrived with different wording or a different size from the order, keep it separate until the organizer and seller have resolved the question.

Hand the list over with the goods

Give the pickup volunteer a checked list and labeled items. Let the recipient confirm their item, then mark it collected. If a helper picks up for several people, note whom they are collecting for.

Before the volunteer shift ends, account for uncollected goods and unresolved lines. Pass both the items and the current list to the next named organizer.
