A family graduation gathering checklist for hosts and guests

Ask the graduate which part of the day they want to spend with the family before setting the party time. They may have ceremony plans, friends to see or another event to attend. Put those commitments on the host’s plan first.

Separate the ceremony from the family gathering

Use the ceremony organizer’s current instructions for tickets, arrival and permitted items. Share those details separately from the party invitation so relatives do not mistake an invitation to the celebration for admission to the ceremony.

Give guests the party address, start and end times, and a contact for arrival questions. Confirm who will be at the venue if the main host is still at the ceremony. A helper with the keys and setup list can answer questions without pulling the graduate away.

Choose a meal time or an arrival window

A shared meal needs a count for a particular time. An open house needs an arrival window and someone to welcome guests as they come and go. Ask households for their expected timing, then record updates on the same list.

For either format, assign the food, seating and cleanup jobs. Ask how guests would like to share food or access needs privately. Confirm the setup with the venue rather than assuming that a photograph shows everything your group needs.

Agree on photographs and optional shirts

Ask the graduate whether they want a planned family photograph and where it fits in the day. Tell relatives when they need to be present. Keep room for the graduate to spend time with guests without another photo request at every turn.

If the family chooses matching shirts, check the exact design and collect each person’s garment, size and color. Confirm the class year and name spelling before ordering. Use original family wording and check permission before including a school name, crest or logo.

Plan pickup and the final cleanup

If you are offering favors, choose whether each person or each household receives one. Give the pickup helper a checked count and a place to record collections. Keep items for absent relatives separate from favors available at the table.

Before the last guests leave, assign someone to collect cards and gifts, pack unclaimed favors and return borrowed equipment. Ask the graduate who should keep those items while they finish the rest of their day.
